Data Conversions 

Our conversions from Dentrix andEasy Dental are very good and include almost all information.

Conversions from other software are less complete, and usually include:
Patient name, address, phone, etc.
Family relationships
Patient balances or family balance
Insurance addresses, phone numbers, etc. Unattached to patients.

More complex information, such as:
Procedure history
Account history
Appointments
depends entirely on the specific program we are converting from and how many of those conversions we have done in the past. The more popular programs will tend to have more data that we can convert.

A typical conversion scenario is to first discuss it with one of our conversion specialists. We can then do a preliminary conversion as a test and to see what obstacles there might be. This usually takes from a few days to a week. Once we have done the test conversion, we can schedule a date for the final conversion. The final conversion is usually completed in less than a day.

Even with a very good conversion, each patient record needs to be verified as the patient comes in for their next appointment. The first few days after the conversion should be scheduled light, since the staff will be very busy entering data, and since they will also not be up to full speed with the new software. Appointments all get entered on the first day, and a quick note gets put on each appointment describing the procedures to be performed. The actual procedures can be added later when there is more time.

If you have any clinical data such as chart notes in your old system, then as the patients come in, it can get moved into the Documents module of Open Dental as screenshots. You do this by pulling up the information in your old program, hitting Alt-PrintScreen, and then pasting into the Images module and selecting the appropriate category. This is similar to the way existing paper charts get scanned in to the Images module. For old financial data, it usually works best to just run your old program on a single computer in the business office and refer to it if necessary. Also, see the After Conversions page.

Fees for the entire conversion are generally around $700 to $1000. In rare situations, it can be as low as $500 if we are just converting one table and the data is already in simple text format.

Before doing a conversion, you should sign our HIPAA form. If you have more complex privacy requirements, we would be happy to work with you to resolve them.

As a final note, if you ever wished to convert from Open Dental to another program, the conversion would be much easier since all your data would be available, not just some of it.
